Submit a project proposal

The IT EPMO supports IT projects for Urbana-Champaign campus units, as well as cross-campus and systemwide initiatives. Before submitting a project request, the effort must have an identified executive sponsor, meaning a senior leader who supports the project and can help secure the necessary organizational commitment and resources. 

When you are ready to get started, complete the project request form and provide as much information as you currently have. The information you submit will help the IT EPMO understand the proposed effort and begin its review. 

What happens after you submit

The IT EPMO will review the submitted project request and contact the requester if additional information is needed. Once the IT EPMO has the information necessary to understand the proposed project, the request will move through the IT Leadership approval process. 

After the project is approved, the IT EPMO will contact the requester to explain the next steps. The IT EPMO and project team will then discuss the project’s needs and agree on the appropriate IT EPMO engagement model. 


Start an approved project

  • Confirm approval and any conditions before starting
  • Connect with the IT EPMO to discuss support needs, roles, and next steps
  • Review the welcome packet for guidance and resources
  • Align on purpose and roles for the sponsor, project lead, scope and intended outcomes
  • Plan the work by agreeing on milestones, responsibilities, risks, and communication
  • Kick off the project with clear actions and owners

Autonomous

The team leads and manages the project independently. No PM.

Guided

Teams leads with an assigned IT EPMO project manager providing support upon request. PM guides.

Phase assisted

IT EPMO project manager supports specific project phases. Phased PM resource.

Embedded

IT EPMO project manager works with the team to support delivery. Full PM resource.

Fully managed

IT EPMO project manager leads and manages the project. Full PM resource.


Waterfall

Structured, phased-based approach executed through a planned sequence of work.

Agile

Iterative approach delivering work in small increments with feedback and improvements.

Hybrid

A flexible approach combining elements of waterfall and agile methods.


Standard delivery mode

Work is executed in a steady, structured manner using established methodologies, with clear scope, predictable cadence, and defined governance.

Rapid response mode

Work is performed with urgency to address immediate needs, focusing on fast alignment, accelerated decision-making, and short-term outcomes.

Assessment mode

Work is focused on understanding the problem, exploring options, and defining a clear path forward before full delivery begins.

Recovery mode

Work is focused on regaining control of an initiative, addressing risks or issues, and re-establishing a clear and achievable delivery plan.
